Roles and Responsibilities:
Follows procurement guidelines and internal policies to obtain office supplies and other materials and services from external vendors.
Initiates and completes procurement and payment procedures to process payments to vendors and maintains Marketing & Business Development’s Operating budget database and special project databases to track expenses.
Supports the maintenance of the division’s central file system for easy reference of contracts, partner agreements, budgets and other critical documents.
Develops and executes material distribution lists and shipping instructions for external vendors and assists with distribution of branded materials both externally and internally.
Coordinates, inventories and records distribution of Marketing & Business Development’s marketing materials and assets received from vendors and external partners for various agency efforts programs.
Supports the Manager, Marketing Production in assigned duties for the Marketing, Social Media and Creative Services units.
Manages internal tactic meetings and reference sheets, facilitates work order requests and obtains price quotes for materials and services, including translations and barter services from advertising contractor.
Participates in customer initiatives, such as the Ambassador and ERT programs and/or special event activities, to improve the overall customer travel experience.
Provides backup assistance for Manager, Marketing Production and other Communications & Customer Experience Department leadership, when needed.
Education, Experience and Qualifications:
Bachelor’s Degree in Business Administration, Marketing or related field, or equivalent, and two (2) years of experience in a corporate marketing/advertising environment, ideally with at least 6 months of experience in the public transportation industry.
Knowledge and Skills
Requires strong communication, interpersonal and organizational skills and demonstrated ability to maintain office and material expenses.
Requires strong attention to detail and ability to work in a fast-paced, flexible environment.
Proficiency in Microsoft Office software and Oracle procurement platform required.
